Professional Registration
All Clinicians are affiliated and registered to the relevant Professional body. All senSI staff are subject to enhanced Disclosure and Barring Service (DBS) checks.
We are members of The College of Occupational Therapists (COT), and the Royal College of Speech & Language Therapists (RCSLT) and Nursing and Midwifery Council (NMC). We operate according to COT

We are also members of Sensory Integration Network. We receive appropriate supervision, and have undertaken all post graduate training necessary to deliver high quality sensory integration therapy

A condition of HPC registration is to continually demonstrate our learning, professionalism and high professional standards by means of continued professional development. We actively encourage employee attendance at appropriate educational courses and conferences; and set aside time and resource to complete mandatory training and participation in regular clinical supervision.
Disclosure and Barring Service (DBS)
To help us make safer recruitment decisions and prevent unsuitable people from working with children and vulnerable individuals all our employees are subject to an enhanced DBS check when they begin employment with us, and before they work with patients.
Insurance
senSI Treatment Limited (senSI) has appropriate professional, employer and public liability insurance.
Confidentiality and the Law
SenSI is registered with the Information Commissioner’s Office to collect, store and use personal and sensitive personal data. We have suitable organisational and technical measures to protect the information whilst it is in our possession. As required by the Data Protection Act 1998, you must consent to the use and disclosure of personal information relating to you/your child.
During our sessions you may discuss personal thoughts, feelings, and actions. To some extent, the therapist’s ability to help depends on how open you (and your child) are about yourself and your relationships during the assessment and any subsequent treatment. Anything disclosed will remain confidential. It is important during all discussions; that you feel you can talk openly and that the right to privacy is protected, for all parties.
We need permission to access your child’s medical records, and to discuss treatment and progress with doctors, therapists, and other professionals who are working with you and your child.
We make notes during and after sessions. These will contain meeting dates, what was discussed and done and any problems or goals that are being worked towards.
It can be useful for patients and therapists for sessions to be filmed. This filming will be reviewed by your therapist to plan future treatment, feedback and clinical supervision. All recordings are securely stored and accessed only by those authorised to do so.
The information we collect, use and store is in accordance with the eight principles set out in the Data Protection Act 1998
From time to time, and to meet statutory and professional obligations we may be required to disclose information to the Care Quality Commission, or the Health Professions Council, or for professional supervision, and quality assurance. We may also use statistical data for the purposes of evaluation and research.
At first contact we require a treatment and confidentiality consent form to be completed, this will include a request for us to access other professionals involved with the care of your child. (Education, physiotherapy, GP etc).
In accordance with the Data Protection Act if you wish to see the information senSI holds about you and your child you must make a request in writing. There will be a charge for this.
In the course of normal treatment we will not disclose any information shared with us without appropriate consent. Where we believe there is the likelihood of harm to a child/young person or parent or other person we will make a disclosure to the appropriate agency/authority.
senSI will hold information that has been given consent for the duration of treatment and this will then be held for up to 3 years once the treatment has ceased.
You have the right to withdraw your consent at any time throughout the duration of treatment or involvement with senSI. You must notify the main senSI office and you will be provided with a withdrawal from consent form.
Our reports will be shared with commissioners and referrers i.e. If we have been commissioned to undertake a Specialist Assessment funded by Adoption Support Fund, our report will be shared the the commissioning adoption team.
Outgoing mail is not encrypted, and we will not in the normal course of business send personal information/reports by email. If you require senSI to do this, we ask for a signed and dated written approval to do so.
Specialist Assessment
At the outset of the relationship with senSI a thorough assessment will take place. The time taken depends on the personal circumstances but should be no longer than one hour. In some circumstances it may take longer and this will be discussed and agreed with the instructing party.
Before any assessment takes place we require this form to be completed.
An email confirming the date and time of an assessment appointment will constitute acceptance of the assessment booking
This agreement is between the client and senSI. A written copy of the Terms and Conditions are issued and need to be accepted in this form prior to any booking can be made.
These terms and conditions are regularly reviewed and senSI may make amendments to the current terms and conditions without prior notice to the client. If changes are made updated terms and conditions will be distributed to all current clients.
Adverse weather; in the event of adverse weather conditions, and the clinic remains operational a refund will not be issued for a missed or cancelled assessment session.
Please note that we cannot guarantee that our reports will be accepted to support EHCP applications, or for EHCP Personal Budgets. We do not complete assessments for tribunals. Our reports may inform educational institutions, but we cannot guarantee that our recommendations will be followed.
The assessment fee also includes a written report, if extra copies are required then these will be charged at £15 per additional copy
A 30 minute telephone call review is included in the assessment costings. For more than 30 minutes or on provider request, additional costs will be quoted for before the assessment is booked.
Treatment
Every child/ young person must complete an assessment before starting treatment.
Treatment session are usually one hour, of which a minimum of 45 minutes will be direct ‘hands-on’ therapy, and 15 minutes for discussing goals, writing treatment notes and cleaning.
Treatment & Assessment Cancellation
Please support us to minimise chargeable cancellations by ensuring everyone involved is aware of their responsibilities to communicate cancellations as soon as practicable. If you’re unable to meet a prearranged appointment at least
2 full working days notice
is required other than in exceptional circumstances. Cancellations must be made by telephoning Sensi Head Office on 01508 578577 or email to
info@sensitreatment this can also be completed over the weekend if in the instance of a session on Monday.
If an initial assessment/ treatment sessions are cancelled with less than 2 full working days’ notice, 50% of the assessment/treatment session fee will still be charged.
Therapists are unable to wait more than 15 minutes for a late appointment. Please tell your therapist as soon as you know you will be late
.
If seen, the session will end at the original scheduled time.
Adverse weather; in the event of adverse weather conditions, and the clinic remains operational a missed or cancelled treatment session will be chargeable.
Absences – senSI reserves the right to cancel a session if a therapist is ill. We will do our utmost to cover the session with another member of the team. If this is impossible we will rearrange the session at your convenience and our expense.
Block bookings – Block bookings of 4-6 weeks are to be paid in full in advance. As we are unable to fill the place at late notice if a session is missed or cancelled there will be no refund. If the cancellation is due to SenSI we will offer the session at a later date at no additional cost.
Infection control
Land based sessions
We maintain high levels of hygiene and infection control, following guidelines on hand washing and equipment cleaning.
We request that children do not attend appointments when they are unwell.
Whilst we do not wish to spread germs, we know from previous experience that treatment success is limited when a child is unwell.
Children should be free from diarrhoea or vomiting for at least 48hours before attending a therapy session and should not be
actively infectious
with other common childhood diseases.
senSI swim
Shoes must not be worn poolside. Avoid food before your session. If your child has suffered a stomach bug i.e. sickness and/or diarrhoea, the session must be cancelled.
If cancelled within 48 hours before the session, there will be an additional £30 charge to cover the cost of the pool hire.
If a child is incontinent they must wear appropriate nappies and swim wear. When getting out of the water,
A common symptom is the urge to urinate; this is due to the water pressure. To avoid distress it is important to ensure your child is taken to the toilet immediately after the session.
Responsibility/Liability
Siblings present during sessions are the responsibility of parents whilst at any senSI sessions, and must not disrupt therapy sessions.
It is responsibility of the parent/guardian to inform senSI of any relevant changes e.g. medication, allergies.
Our equipment is safe and tested however our environment is not risk free, as children, will, sometimes
push themselves in sensory seeking behaviours. We believe the child needs to take a certain amount of risk in order to develop and learn. We allow the child to use the environment as they wish, however we do not condone violence or aggression towards ourselves, parents, other children or wilful or reckless damage to property. Siblings present during sessions are the responsibility of parents whilst at any senSI sessions, and must not disrupt therapy sessions.
Costs (Privately funded)
Travel costs are based on the suggested travel time of a route planner at a fee per hour and a fee per mile
and on a return basis.
If senSI becomes involved in any patient litigation, this will be chargeable.
Attendance at case reviews and written reports can be provided at an additional charge including travel
charges where appropriate
Treatment programmes are charged in blocks of 12 sessions and each session lasts an hour. Dependent
on patient need, sessions will usually be weekly.
Any consultation/administration outside of the allocated sessions will be charged in line with the
pro-rata hourly rate for professional time, to the cost interval of 15 minutes. E.g. inter-professional liaison, telephone consultations. This is charged at a fee per 15 minutes and will be charged in increments of 15 minutes if the call/work takes longer.
Any equipment, loaned or chargeable is the sole responsibility of the parent/guardian.
Payment
The funding method must be clearly identified prior to the initial assessment or therapy sessions.
Invoicing is monthly and payment terms are strictly 30 days.
Payment for assessments must be received before the report is issued.
Payments can be made by BACS or cheque.

Failure to pay invoices within the allocated timeframe may result in the space being offered to another
family.
Late Payment of Commercial Debts (Interest) Act 1998, interest is payable both before and after any court judgment - continues to accrue.
Payment via a third party
Where payment is via an identified third party, the conditions noted in section 11 apply.
Payment Failure
If invoices remain unpaid treatment may be withdrawn, and may not be reinstated until the outstanding payment is received.
Complaints
We strive to provide an outstanding treatment environment and trust that you will be satisfied with the input you receive from senSI Limited. If for any reason you are dissatisfied with our service delivery please raise any concerns at the earliest opportunity. We will listen to what you have to say and thoroughly investigate any matter reported according to our Complaints Procedure. We foster and promote an honest and open culture amongst the team and trust that you find us easily approachable, so that any issues can be easily raised, and addressed should this be required.

We understand that our duty in providing written reports and giving evidence is to help the child/young person and commissioner. We know of no conflict of interest of any kind, influencing the content of this report.
We have considered all information made available to us, in order to be accurate and complete in preparing this report, however our reports are based on our clinical opinions and professional expertise. When information is shared with us, rather than directly seen,
we may comment, for example, that it has been "reported to SenSI that..." However, we are not at liberty to include information which is shared to us indirectly, via a third party.
Reports will be shared with all parties with Parental Responsibility and anyone additional we have consent to share with.
Statement of Truth: We confirm that, insofar as the facts stated in our report are within our own knowledge, we have made clear which they are and we believe them to be true, and that the opinions we have expressed represent our true and complete professional opinion. Due to the above statements, we are not able to amend or adjust our clinical opinions and professional conclusions. We will correct any factual inaccuracies if requested to do so in writing.
